What information we collect
When you enquire through our website, by email, phone or social media: your name, email address, phone number, event date, venue or location, guest numbers, and anything else you tell us about your event.
When you book with us: the above, plus billing details, menu choices, timings, venue contact details and any guest information needed to cater your event (such as names for place settings).
When you tell us about dietary needs: allergies, intolerances and dietary requirements for you or your guests.
When you pay us: payment amounts and dates. Card payments are handled by our payment provider; we do not store full card details.
When you visit our website: technical information such as your IP address, browser, device type and the pages you visit, collected through cookies.
If you give us information about other people, such as your guests, please make sure they’re happy for you to share it with us.
Allergy and dietary information
We only use allergy and dietary information to prepare food safely for you and your guests.
Allergies and some dietary requirements count as health information, which the law protects more strictly. We collect it only with your explicit consent, which you give when you send it to us for this purpose, or where it’s needed to protect someone’s health.
It’s shared only with the members of our team preparing and serving your event.
We keep it with your booking for the period below, then delete it.
You can withdraw your consent at any time, but we may then be unable to cater safely for the person concerned.
How we use your information
Replying to your enquiry and sending quotes and menus (steps before a contract, at your request)
Planning, catering and delivering your event (performance of our contract with you)

Squarespace: hosts our website and receives enquiry form submissions.
Google (Google Workspace): our email and file storage.
Tide: processes payments.
Kashflow and our accountant: invoicing and tax records.
We may also share information if the law requires it, for example with HMRC. Some providers, such as Squarespace and Google, may store data outside the UK; where they do, they use legal safeguards approved under UK law.

Cookies and analytics
Our website uses cookies, small files stored on your device. Essential cookies, set by Squarespace, make the site work securely and are always on. Analytics [and advertising] cookies help us understand how people use our site [and whether our ads lead to enquiries], and are used only if you accept them in our cookie banner. You can change your choice at any time through the cookie settings link on our website, or block cookies in your browser.
Marketing
We’ll only send you news, seasonal menus or offers by email if you’ve opted in. Every email has an unsubscribe link, or you can email us to stop at any time. Making an enquiry or booking doesn’t sign you up.
Your rights
You have the right to access the personal information we hold about you, correct it, ask us to delete it (where we don’t need to keep it by law), restrict or object to how we use it, withdraw your consent at any time, and receive a copy in a portable format.
To use any of these rights, email enquiries@thefigpantry.co.uk. It’s free, and we’ll reply within one month. We may ask you to confirm your identity first.
Complaints
If you’re unhappy with how we’ve handled your information, please contact us first so we can put it right. You also have the right to complain to the Information Commissioner’s Office (ICO) at ico.org.uk/make-a-complaint or on 0303 123 1113.
Changes to this policy
We may update this policy from time to time. The latest version will always be on this page.
